Job Description


1. Provides diversified administrative management to senior leaders including managing calendars, scheduling, coordination of meetings with agendas, filing and other administrative support

2. Prepares confidential and sensitive documentation and correspondences which may be distributed to various audiences

3. Maintains database information and documents to ensure accuracy, compliance, and confidentiality; runs reports as needed

4. Presents a positive image while acting as the face of the company both physically and on the phone with clients and visitors


" Displays excellent communication skills including presentation, persuasion, and negotiation skills required in working with customers and coworkers, including the ability to communicate effectively and remain calm and courteous under pressure.

" Makes and places coffee for reception lobby and warehouse.

" Attends safety committee, senior leadership team, board, and manager meetings to take notes and forward.

" Coordinates setup and orders catering for meetings and special events.

" Consistently follows through on deadlines and projects, takes initiative on all work requests, and provides status updates to managers and team.

" Proactively anticipates needs and issues and recommends and takes action to resolve issues.

" Books travel for all install teams and changes travel plans when necessary.

" Maintains punctual, regular and predictable attendance.

" Works collaboratively in a team environment with a spirit of cooperation.
" Assists Human Resources department with requests such as posting openings, scheduling interviews, candidate correspondence, tracking completed paperwork and other support assistance.

" Performs other duties as assigned.

High school diploma or general education degree (GED); or two to three years related experience and/or training; or equivalent combination of education and experience.

Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

Job requires specialized computer skills. Must be adept at using various applications including database, spreadsheet, report writing, project management, graphics, word processing, presentation creation/editing, communicate by e-mail and use scheduling software.

Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
